Provide information about packaging type and packaging material in Synkka data pool

This page contains instructions on how to provide packaging type and packaging material information in Synkka Product.

The Data Pool can have several packaging types

In the old version of the Synkka Data Pool (2.8), each product could only have one packaging type, for example, bottle. In the new version (3.1), one product can have several packaging types, such as bottle and case.

Packaging type is linked to the packaging material information

Reporting the packaging type is linked to the reporting of packaging material. Packaging material is reported per packaging type. The user must first specify the packaging type and then provide the packaging materials used in each type, along with their weight in grams.

The packaging type and packaging material fields are located within the same section of the user interface. Therefore, adding several packaging types and packaging materials is easy. To add a new packaging type and the related material, simply click on the Add new button. The primary packaging type is given first, according to the data recipients’ wishes.

Mandatory information

The Packaging Type Code F7157 is a mandatory information. This means that if field F7157 is left blank, the system will issue an error message. All the packaging types of a trade item must be reported in the Data Pool. It is not enough to indicate one packaging type if there are several types that could be identified.

Packaging function code F7355

Packaging function code F7355 attribute can be used for providing additional information or functionalities of the packaging, such as vacuum-packed or antiseptic.

Unpacked items

Unpacked items must also be given a packaging type. If the item is not packed and has no natural packaging type, select Not packed (NE) as the packaging type. Do not enter any packaging material information for unpacked items (Packaging Material Type Code F7154, Packaging Material Composition Quantity F7155 and UOM F7156).

Packaging type of collected sales batches and providing packaging material information on returnable packages

Select Intermediate Bulk Container, rigid plastic (AA) as the Packaging Type Code F7157 of transboxes. Also select Is Packaging Marked Returnable F7219 = Yes.

If you are creating a sales batch that comprises a half-empty transbox, do not provide packaging material information for it.

If you are creating a sales batch that comprises a full transbox, please provide packaging material information for it as normal.

Pallet information of Private Label products

Pallets for Private Label products must be established in Synkka Product as GTIN-coded pallets. This is because in the case of Private Label products, the recipients of product information must know the packaging materials used at each packaging hierarchy level.

Case level Non-GTIN

It is not possible to specify a packaging type or packaging material for pallets without GTIN codes. This might disturb the processes of recipients, and the current recommendation is to give a GTIN code to all pallets.

Adding a Packaging Type Code F7157 and Packaging Material Type Code F7154 for a new product

When you create a new product, specify the packaging type and packaging material before saving the information for the first time. After saving, the information will move to the Package view, where they will be maintained from now on.

Packaging type and packaging material of base units

In this example, a product called Synkka jar of jam is provided with packaging type and packaging material information through the user information. The Packaging Type Code F7157 and Packaging Material Type Code F7154 are to be found on the first page, under the Packaging section. Click on the Add text inside the square and the system will open a form where you can store the packaging type and the packaging materials.

1. Select the correct packaging type from the Packaging Type Code F7157 drop-down menu. Give the primary packaging type first. The supplier may decide which packaging type is the primary one, but usually, it is the packaging in which the item is sold to consumers. In this example, the primary packaging type of the jam jar is case.

2. Next, specify the packaging material of the packaging type (case) by selecting the right alternative from the drop-down menu in the Packaging Material Type Code F7154 field. The case around the jar is made from corrugated paper, which means the packaging material type selected from the menu is Corrugated. This is the primary packaging type of the base unit.
3. Also add the weight and unit of measurement of the packaging material by filling in the Packaging Material Composition Quantity F7155 and UOM F7156 fields.

4. Click on the Continue button at the top right corner.

5. Add the next packaging type by clicking on Add in the centre of the square again.

6. The next packaging type is the glass jar that contains the jam. Select Jar in the Packaging Type Code F7157 field, select glass as the packaging material and provide the composition quantity and UOM.

7. The packaging also includes a metal cap and a sticker. First, find out if there is a suitable packaging type for these. If a suitable packaging type cannot be found, enter the information in the packaging material field. Enter the materials for the packaging type you are currently editing.

Packaging type and packaging material of a packaging item

Packaging type and packaging material must be provided for all levels of the packaging hierarchy.

Add the information on packaging items as you did on base units. The following example demonstrates how the packaging type and packaging material of the example product (jar of jam) are specified at the level of a packaging item.

1. The image shows a jar case that is of the tray type. Thus, the packaging type is Tray. This is the primary packaging type of the packaging item.

2. Next, provide the packaging material of the packaging type (tray). The tray is made from corrugated board, which means the right value is Corrugated board, other.
3. The tray is also stretchwrapped. Stretchwrapper is the second packaging type of the case, and it can be found in the Packaging Type Code F7157 drop-down menu.
4. Next, provide the packaging material of the packaging type (stretchwrapper). Select the right material in the drop-down menu in Packaging Material Type Code F7154, such as Plastic, other.

Packaging type and packaging material of a pallet

In the example, the highest level of the packaging hierarchy is a GTIN-coded pallet. Also pallets must be provided with packaging types and packaging materials.

1. In the image, the jam is packed on a GTIN-coded pallet. Thus, the packaging type is Pallet.

2. Next, select the packaging material of the packaging type (pallet). The products are packed on a wooden EUR pallet, which means that the packaging material is Wood. Add also the composition quantity and unit of measurement for the wood.
3. The EUR pallet is also shrinkwrapped, which means that shrinkwrapper is the second packaging type of the pallet. Add the second packaging type and specify its material. The packaging material of the shrinkwrapper is Plastic, other.
4. The pallet also contains a pallet collar made from corrugated board and a metal band. There is no packaging type for these, which means that you should add them as packaging materials.

Providing packaging material information

Providing packaging material information is mandatory in the Synkka Data Pool. The obligation to provide packaging material information is based on the requirements laid down in the GDSN standard and on the information needs of the recipients.

You must specify each packaging material used in the product in the Data Pool. The information required in the Finnish market is specified in the instructions provided by Finnish Packaging Recycling RINKI Ltd. The instructions are available online at www.rinkiin.fi.

The definitions by RINKI have been added to the code list of packaging materials in Synkka Product.
Please note that the list of packaging materials in the Data Pool includes some materials that are not defined by RINKI. These packaging materials may, however, be also used, if the description is suitable for the product.

At what level and with how much detail should I specify the packaging materials?

Specify the packaging materials used at all levels of the packaging hierarchy, i.e. base units, packaging items and pallets. Recyclable, rented and returnable packages can also be reported as packaging materials, such as wooden pallets and transboxes.
